The Team Inbox can hold every WhatsApp conversation your business has. This guide shows how to slice it down to exactly the chats you need — by channel, folder, status, quick filter, or a plain search.
1
Open the Team Inbox
Open Inbox from the main navigation. The screen has three areas: the channels & filters sidebar on the left, your conversation list in the middle, and the open conversation on the right. This guide is about the first two — finding the right chat.
2
Switch channels
In the sidebar's Channels group, choose what you're looking at: All Channels, WhatsApp (chats only), or WhatsApp Calls (your call history). A green dot on WhatsApp Calls flags missed calls.
3
Choose a folder
Below the channels, pick a folder to narrow who owns the chats: All chats, Active chats, Assigned to me, or Unassigned (the default). The folder name also appears as the list's title, with a live chat count beside it.
4
Filter by status
Above the conversation list, the pill row filters by status — All, Open, Unread, Pending, Expired, and Solved. Drag the row sideways if the pills run past the edge. Expired shows chats whose 24-hour WhatsApp window has closed.
5
Narrow with quick filters
Click More in the sidebar to reveal extra filters — Last 24 Hours, Favorite only, and Blocked Chats — plus a second copy of the status list. Picking one shows every matching chat across your folders.
6
Search by name or number
Click the search icon in the list header and type a name or number. The list filters as you type; press Esc or the × to close it and return to your filters.
7
Read the list at a glance
Each row shows the contact's name, the last-message time, a colored status badge (Open, Pending, Solved, Expired, Campaign or Blocked), and an unread count bubble when there are new messages. A small bot icon on the avatar means an automation is currently handling that chat. Rows are grouped under Today / Yesterday / date headers.
